Puddles Party Package - explained

Today we wanted to take a closer look at the Puddles party package and show why it’s a really hassle-free way to organise a kids' party in London!

Step 1: Booking 

We confirm the party date & time, and venue and agree on the party style, party theme, the estimated number of children and any boosters over email. We can also discuss party details over the phone after we schedule a phone call. You’ll need to fill our online form to confirm your booking. We’ll send a booking confirmation summarising your booking after you fill in the form and pay deposit.

We generally need 4 h of venue hire: 1h prep, 2h party, and 1h tidy up. In rare circumstances, shorter venue hire is possible when, for example, the venue offers only 3h slots. 

We offer a lot of flexibility in terms when you need to confirm things like party style, theme or number of children. The initial quote in the booking confirmation is amendable until the very last week before the event.

Step 2: After booking

Prior to the event, you can get in touch with us over email and schedule a phone call if you have any questions. We have dedicated office employees who monitor email every day and are happy to answer any questions. We also created a FAQ guide that may clarify certain questions before the event. 

Behind the scenes, we work to make your event special. We coordinate with the venue about the booking, book in-house Puddles entertainers for your event and brief them about your event, and pack decorations and tablecloths. 

We’ll catch up with you by email to review and confirm the quote on last Monday before the event. It’s a perfect time to make any changes to the booking or chat about the event. We’ll also provide information about setting up and arrival. We’ll also suggest potential boosters that could work well at your event.

We try to confirm the final quote on Wednesday, but we know customers often get late RSVPs so we can introduce small changes to the quote even on Thursday or Friday.

Step 3: Day of the event

Puddles team arrives at least 1h before the party start time to set up the venue. We set up tables with tablecloths and chairs for kids and set up a buffet table with a tablecloth for parents, so don’t worry about moving heavy tables and chairs - we do it for you. Puddles team creates a functional party layout, in which Puddles entertainers can smoothly run the entire party. Puddles team will also set up a round-themed backdrop and three cake display tables, which together are a centrepiece of the party. Depending on what a party venue allows for, we’ll also use colourful bunting, themed and colourful backdrop sheets for walls, and smaller decorative items to transform the space. 

Depending on your order, we will set up balloon decorations or prepare catering for kids and adults! Did you know that you can order nearly all necessary party elements from us?

We recommend that you arrive 15-20 minutes before the planned party start time; Puddles team is mostly finished with set up at this stage and can welcome you and help with food and party bags if you’re bringing them with you. It’s also a good time to discuss the party plan and ask the team any questions before the party starts. If you bring your own food, the party host/coordinator will help you with setting it up. They will also make sure the birthday cake is put in a safe place until the cake moment, and later they will take it out for the cake moment!

And then the party starts! We’ll run the party according to a party plan. 

Before the event, we’ll share with you a party plan that we will follow on the day. The plan is designed to include more structured activities and also some free play. There is always a food break included too, so children can have some rest and have a drink or a snack. As activities are often very energetic, we really recommend having a food break at a 2h party. Our party plans are the results of our work since 2014 and have been performed hundreds of times now. But we continue to update and improve them to make sure you get the best possible experience! 

The party host/coordinator, apart from being your right hand, is also present at the party to ensure the party plan is followed and everything runs smoothly. Whether it’s serving food on time, finishing a party game, or putting the cake on the cake table, the party host-coordinator has it all covered, so you don’t have to worry too much about when to do what. The party host/coordinator is also there to ensure all elements of the party like balloon decorations and catering create the desired result.

Our in-house entertainers will run all activities and party games according to the party plan. As Puddles entertainers and party hosts are a closely knit in-house team, which every weekend works together, you will be welcomed by a group of entertainers who know each other well and are excited to work together to deliver the best party for you. 

 

After the party ends, we’ll ask your guests and you to leave promptly, so the Puddles team can tidy up within the venue hire time. You will have time to pack leftovers, gifts, etc, but it’s not possible to hang out any longer at the venue. You’re welcome to extend the party by 30 minutes or 1h before the party if the venue and team have sufficient availability. Extension fees apply. The extension needs to be agreed upon before the party weekend. 

Puddles team will tidy up the venue as per requirements of the venue and take down decorations, so you don’t have to worry about it and you can continue celebrating the day. 

If you’ve ordered balloons from us you’re welcome to take them home. Puddles team can also help with giving out party bags. 

If photos were taken at your party, we’ll aim to send them to you in the week following the party.
